Your mission

The Sales Operations Specialist plays a pivotal role in driving the efficiency, accuracy, and coordination of our commercial operations. Acting as the operational backbone of the sales function, this role ensures that all sales processes—from contract management and reporting to client administration—run smoothly, allowing the commercial team to focus on growth and relationship-building. The Sales Operations Specialist acts as the key liaison between Sales, Finance, and other support functions, taking ownership of tools, processes, and compliance-related responsibilities.
 
Key responsibilities
 
  • Sales Operations & Process Improvement
    • Serve as the go-to support for client-facing teams for all sales admin and process-related tasks.
    • Maintain and continuously improve internal workflows and documentation standards.
    • Lead coordination of sales proposals, tender submissions, and customer-facing documentation.
    • Coordinate KYC checks with Compliance when required.
  • Contract Management
    • Own the end-to-end contract lifecycle: draft, review, and coordinate timely execution of sales agreements.
    • Ensure all contractual obligations (indexation, usage-based charges, milestones, etc.) are tracked and fulfilled using appropriate tools.
    • Maintain comprehensive records of contractual documentation including handover protocols, amendments, and correspondence.
  • Revenue Integrity & Billing Coordination
    • Initiate and track contractual charges to clients, including indexation, engine hours, and ad hoc recharges.
    • Collaborate with the Finance to ensure lease revenue invoices and credit notes are accurate and aligned with contract terms.
    • Act as the primary point of contact for all customer invoicing matters, ensuring full alignment with the lease contract and timely resolution of queries.
  • CRM & Tools Ownership
    • Take ownership of the CRM system: ensure data accuracy and completeness of customer and contract data, support adoption, and optimize configuration.
    • Act as the key liaison with IT and external vendors for tool improvements and integration.
  • Sales Reporting & Performance Insight
    • Define and monitor internal KPIs related to sales performance and process compliance.
    • Analyze sales data to identify trends, forecast needs, and support decision-making.
    • Prepare and deliver quarterly performance packs for management review.
  • Sales Enablement & Collaboration
    • Provide regular coaching or refreshers on internal tools, workflows, and documentation standards.
    • Ensure the sales team is equipped with the most up-to-date templates, materials, and information.
    • Serve as the interface between the sales team and departments such as Finance, Legal, Compliance, Operations, and Fleet.

Your profile

  • Fluent German or French and English speaker, other European languages a plus
  • Relevant bachelor’s degree in sales, business, finance or related field
  • 5+ years working experience in a (relevant) business environment
  • Excellent organizing skills, accurate, diligent and reliable.
  • Hands-on mentality, positive attitude.
  • Good communication skills, with the ability to liaise across teams and with clients.
  • Ability to prioritize and handle multiple tasks in a fast-paced environment.
  • Affinity with transport and/ or logistic sector is an advantage
  • Advanced computer skills (excel, word, ppt, CRM systems)

Starting date is as soon as convenient. The position is based in Luxembourg or Dortmund  or Rotterdam and is planned as a full-time position.
